Adoxus OÜ ("we," "us," or "our") respects your privacy and is committed to protecting your personal data. This privacy policy explains what we collect, why, and what rights you have when you visit our website or contact us. We are the data controller for the processing described here.

Information we collect

Information you provide

• Contact and inquiry forms: Name, email address, and — depending on the form — phone number, company name, project details, budget range, and anything you write in a message field. Submitting a form requires ticking the consent checkbox shown next to it.
• Newsletter: Your email address, confirmed via double opt-in. Every mailing contains an unsubscribe link.
• Appointment bookings: When you request a meeting, we record your name, email address, the meeting type and time you chose, your timezone, how you would like to meet (video, phone or in person), and — if you provide them — your phone number, company, a short brief and any files you attach. Requesting a meeting requires ticking the consent checkbox shown next to the form.

Information collected automatically

• Abuse prevention: When you submit a form or subscribe, we record your IP address with the final part removed (for example 203.0.113.0 instead of the full address). This shortened address cannot identify your device and is used solely to detect flooding and abuse.
• Analytics: With your consent (see Cookies below), we measure page visits in aggregate. Without consent, no analytics identifiers are stored on your device.
• Server logs: Our hosting infrastructure keeps short-lived technical logs to keep the site secure and available.

How we use your information

• To respond to your inquiries and prepare proposals (performance of pre-contractual steps, Art. 6(1)(b) GDPR)
• To arrange, confirm and hold meetings you request, including sending you a calendar invitation (performance of pre-contractual steps, Art. 6(1)(b) GDPR)
• To send the newsletter you subscribed to (consent, Art. 6(1)(a) GDPR)
• To understand how the site is used, in aggregate (consent, Art. 6(1)(a) GDPR)

Where your data goes

We do not sell, trade, or rent your personal information. Form submissions are delivered to us by a transactional email provider and stored in our website database so we can follow up. We use a small number of service providers — hosting, email delivery, analytics, and spam protection — bound by data-processing agreements. We may also disclose data when required by law.

When you book a meeting and we confirm it, the appointment — your name, the meeting type and the time — is written to our own work calendar, which is hosted by Apple (iCloud). Your email address is included so the invitation can reach you. Nothing else you send us, including your brief and any attachments, is placed in the calendar.

Data retention

• Form submissions: kept for up to 2 years after our last contact, then deleted.
• Newsletter data: kept until you unsubscribe.
• Appointment records: kept for up to 2 years after the meeting (or after a request lapses), then deleted. Files you attach to a booking are deleted once the meeting has taken place.
• Shortened IP records: kept only briefly for abuse prevention.

Your rights

Under the GDPR you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict processing of your data
• Request data portability
• Withdraw consent at any time, with effect for the future
• Lodge a complaint with a supervisory authority — in Estonia, the Data Protection Inspectorate (Andmekaitse Inspektsioon)

When you first visit, a consent banner lets you choose which cookie categories to allow. Nothing beyond strictly necessary cookies is set before you decide, and you can change or withdraw your choice at any time via the cookie icon on every page.

Security

We use appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. All traffic to this site is encrypted in transit.
